Google Calendar

The Google Calendar tool turns your AI agent into a booking assistant. A customer asks for an appointment, the agent checks what is already taken, offers free times, and books the one the customer confirms, straight into a Google calendar your team can open on any phone. It can also reschedule and cancel. Available on every plan, including the free one.

How does Google Calendar booking work?

You connect a Google account once and choose the calendar to book into. From then on the agent handles the whole booking conversation on its own, using the working hours and appointment length you write in its instructions. Every appointment lands in Google Calendar within seconds, with the customer's name and phone on the event.

The flow in a typical chat:

  1. The customer asks — "Can I come on Thursday afternoon?"
  2. The agent checks availability — It reads what is already booked on that day.
  3. The agent offers free times — It combines the booked times with your working hours and appointment length, and suggests what is genuinely free.
  4. The customer picks one — "4:30 works."
  5. The agent books it — It asks for the name if it does not have it yet, creates the event, and confirms the date and time back to the customer.

Rescheduling runs the same way with a new date. Canceling removes the customer's upcoming appointment after they ask for it.

What do I need before I start?

A Google account with access to the calendar you want bookings in, and a decision on working hours and appointment length. The connection itself takes about two minutes. Mojeeb can create a fresh calendar for bookings, so you do not have to give it your personal one.

  1. A Google account — a work or personal one; you sign in during the connection
  2. Working hours — for example Saturday to Thursday, 10:00 to 18:00
  3. Appointment length — for example 30 minutes
  4. Optional: a service list, if customers book different things

How do I connect Google Calendar?

Go to Tools, pick the agent at the top of the dashboard, find Google Calendar under Available tools, and click Connect. Sign in with Google in the window that opens, choose the calendar, and Mojeeb adds the booking tools to the agent by itself.

  1. Click Connect on the Google Calendar card. The Connect Google Calendar window opens.
  2. Sign in with Google and accept the permissions. Mojeeb shows Waiting for Google sign-in… until you do.
  3. Mojeeb checks your calendars and offers a choice: a calendar it created for you before, your main calendar, or New calendar.
  4. For a new calendar, type a Calendar name such as "Mojeeb Bookings – your business" and click Create calendar. For an existing one, click Use this calendar.
  5. Wait for Adding booking tools to your agent… to finish. You see Google Calendar connected — booking tools added to your agent.

The card now appears under Active tools with four chips: Availability, Booking, Cancel, and Reschedule.

Which permissions does Mojeeb ask Google for?

Three. Mojeeb may create and manage a calendar of its own in your account, see the list of your calendars so it can find one it created before, and manage events on calendars you own, which is what lets you pick your main calendar. Mojeeb reads and writes only the calendar you choose, never the others.

Should I use a new calendar or my main calendar?

A new calendar keeps bookings separate: nothing else in your account is touched, and you can share just that calendar with staff. Your main calendar is the better choice when the agent must see your own events as taken time, for example a one-person clinic or salon that already keeps its day in Google Calendar.

What tools does the agent get?

Four tools are added to the agent as soon as the calendar connects. Each has an instruction the agent follows, and each can be switched off in the Calendar settings window, which lists them under the names below; the card shows them as Availability, Booking, Cancel and Reschedule.

ToolWhen the agent uses itWhat it does
Check availabilityThe customer asks for times or wants to bookReturns the times already booked on the requested day, up to 40 events
Create eventThe customer confirmed one specific date and timeCreates the event with the start time, length, customer name, and phone
Cancel appointmentThe customer asks to cancelRemoves the customer's upcoming booking from this conversation
Reschedule appointmentThe customer wants to move their appointmentMoves the booking to a new time after availability is checked

The agent never invents free times. It only offers times inside the working hours you wrote in its instructions, minus what is already booked. If your business can take several appointments at the same time, say so in the instructions and the agent keeps offering a time until that many are booked.

How do I set working hours and appointment length?

Write them in the agent's instructions on the Agent Knowledge page. The calendar tool itself holds no hours, so the agent reads them from there every time it offers slots. Keep them explicit and include the days you are closed. Change them there whenever your schedule changes; no reconnection is needed.

Example to paste into the instructions:

Working hours: Saturday to Thursday, 10:00 to 18:00. Closed on Friday.
Appointment length: 30 minutes. Last appointment starts at 17:30.
Only offer times inside working hours that are not already booked.
Ask for the customer's name and phone number before booking.

What does a booking look like in Google Calendar?

An event titled with the customer's name, or "name – service" when a service was mentioned, at the confirmed time. The description reads "Booked by Mojeeb" followed by the customer's name, phone number, service, and the channel the booking came from, so staff see everything on the event without opening Mojeeb.

Bookings follow a few rules on Mojeeb's side:

  • The start must be in the future and in the calendar's own time zone.
  • The length is between 5 and 480 minutes, taken from your instructions.
  • Mojeeb does not block overlapping times. The agent applies the limit written in its instructions, one appointment at a time unless you say otherwise, and every booking reports the appointments it overlaps so the agent can act on them.
  • The same customer confirming the same time twice produces one event, not two.

Can I take more than one appointment at the same time?

Yes. Write the limit in the agent's instructions, for example "We have three chairs, so up to three appointments can run at the same time." Check availability returns one entry per booked appointment, the agent counts how many share a time, and it offers that time while fewer than your limit are taken. Without such a line the agent books one appointment at a time.

Can a customer cancel or move someone else's appointment?

No. Cancel and reschedule only reach bookings made in the same conversation. When the customer asks to cancel, the agent uses the booking from that chat, or the conversation's single upcoming booking if there is exactly one. A customer who never booked through the chat gets a polite answer that no booking was found.

How do I share the calendar with my team?

Open the calendar's settings from its card under Active tools and click Share. This opens the calendar's settings page in Google Calendar, where the "Share with specific people" section lets you add staff by email. They then see every booking in their own Google Calendar app on phone and desktop, with the customer's details on each event.

How do I change the calendar's settings?

Open the three-dot menu (⋮) on the calendar card under Active tools and choose Settings. The Calendar settings window lets you rename the calendar, open it in Google Calendar, share it, and switch each of the four tools on or off. Under Advanced settings you can edit the instruction the agent follows for each tool. Click Save to apply.

How do I disconnect a calendar?

Open the three-dot menu (⋮) on the calendar card and choose Disconnect. The agent's booking tools are removed. If no other agent uses the same calendar, Mojeeb's connection to it is removed as well. The calendar and all its appointments stay in your Google account; nothing is deleted on Google's side.

Common questions

Which plan includes Google Calendar?

Every plan, including the free one. There is no limit on the number of bookings. Each agent connects its own calendar, and several agents can share one calendar if they serve the same team.

Can several agents book into the same calendar?

Yes. Connect the same calendar on each agent; Mojeeb offers calendars it created before during the connection. Bookings from all agents land in one place, and every agent sees the same bookings when it checks availability.

What happens if the customer wants a time that is taken?

The agent decides from your instructions. Check availability shows it how many appointments already share that time; when your limit is reached, one appointment at a time unless you wrote otherwise, it offers other times and books the one the customer confirms. The booking tool itself does not refuse, so the instruction is what protects the slot.

Does the agent see my personal events?

Only on the calendar you chose. If you picked a new calendar created by Mojeeb, your other calendars are never read. If you picked your main calendar, its existing events count as taken time, which is usually what you want.

Which time zone are appointments booked in?

The calendar's time zone in Google Calendar. Set it correctly in Google Calendar settings before connecting, and state your city or time zone in the agent's instructions so customers in other regions are not confused.

What if the Google connection stops working?

Google occasionally revokes access, for example after a password change. The calendar card then shows an error and the agent stops booking. Open the card and reconnect with the same Google account; existing bookings and tools are kept.
